“Should I send a post-interview 'thank you' email or mail a card? Who do I send it to: the hiring manager, the recruiter or the entire interview panel? HELP!”

 

 

A friend of mine recently reached out to me to get a clear answer on this topic after falling into a Twitter rabbit hole. I let her know that in my 10+ years of recruiting and hiring in the education space, I’ve probably received less than 15 handwritten “thank you” cards from candidates post-interview. Mailing a handwritten card is not a norm you need to adhere to in this day and age, ESPECIALLY now that we’re mostly virtual. Instead, opt for a personalized "thank you" email. Emails are fast, effective, and a best practice for your interviewing tool kit.

 

Here are things to consider:

 

 

  • Hiring teams usually meet together following a batch of interviews prior to making a final decision. With this in mind, send your email within hours of your interview (not days), and include everyone you engaged with during the interviewing process.

 

  • If you had meaningful interactions with different members of the hiring team (such as separate interviews or substantial email interactions), consider sending individual thank you emails. Otherwise, one email to the whole group is fine.

 

  • Don’t have a hiring manager’s email address? Don’t stress. Simply ask whomever helped you coordinate the interview for contact information.

 

  • Send a "thank you" email at each stage of the process, even after more informal or early conversations. Though it may feel like overkill, don’t miss an opportunity to share your sincere interest in the role and to demonstrate professionalism.

 

  • Regardless of whether you send one email or five, ensure your email is personalized. Reiterate your excitement about the role, the team and the organization.
