What Is An “ATS,” And What Does It Mean to Have An “ATS-Friendly Resume”?

If you’ve been applying for jobs for a while, you might have heard of an “ATS” and/or an “ATS-friendly resume.” I’d love to shed some light as there are some misconceptions about both. 

ATS stands for Applicant Tracking System, which is a database system many employers use to collect, store, and review applications for job openings. Though many Applicant Tracking Systems may employ technology that can parse text in a resume, scanning it for matches with employment criteria, a recruiter will at some point still scan your resume before making a final decision. For employers that receive thousands of resumes for every opening (think about the most well-known tech companies), the ATS may rank candidates for a recruiter based on keyword matches between the candidate’s resume and the target job description. Here are things you should know when applying for a role:

  1. In most cases, a recruiter will still be reviewing your resume! There is no big bad robot automatically rejecting you unless you indicate you did not meet specific qualifications for the role (such as a particular degree or certification, which is listed as a “must have” requirement on a job description). As a recruiter, I reviewed every application for every role. Sometimes, that meant reviewing hundreds of resumes and cover letters for every opening!
  2. Graphs, pictures, charts, headers and footers tend to get jumbled in Applicant Tracking Systems. They might look pretty and demonstrate some serious design skills, but the resume you create in Microsoft Word is the easiest thing for a recruiter and applicant tracking system to scan.

  3. Review the target job description and ensure you’re using the same language to demonstrate a particular skill or experience. There are several websites that will scan your resume against target job descriptions for you, like this one. For example, don’t just say you are fluent in technology; list out the very specific systems, tools, and coding languages you know (i.e. SQL, Salesforce, Tableau, etc.).
  4. Ask yourself, “does my resume explicitly convey that I have the desired skills, qualifications, and demonstrated impact required by this job description?” Do you share metrics that demonstrate your success in a similar role?
  5. Save your documents in Microsoft Word or as a PDF unless otherwise requested. At WorkMonger, we recommend PDF.
