How to decline a job offer

Offering/Accepting a job is usually a joyful opportunity for both the candidate and hiring manager. Declining an offer can be nerve-wracking, especially if you’ve had a positive experience with the hiring team. Assuming you hope to maintain a relationship with the hiring manager/recruiter/employer you are declining (and would be open to applying there in the future), here are some best practices:

  1. Decline the offer as soon as you’ve decided to not accept. While you may wonder if it’s a bad idea to act too quickly, you’re giving the employer the chance to quickly offer to a different candidate, relaunch the search, or strategize about the role’s structure
  2. Share your reasoning, but don’t get in the weeds. A good hiring team/recruiter will wonder what they could have done differently. Provide some closure, like - you decided not to leave your current employer, you accepted a different role, the salary/benefits/schedule didn’t match your requirements, the scope of the position is different than what you understood at the time of your application, etc. 
  3. Offer gratitude. Thank them for the opportunity to engage with their team and learn about the organization. Share positive feedback about the organization, process, and/or interactions with members of their team. 
  4. Convey your hope that you’d like to stay in touch and will continue to champion their organization from afar. 

Don’t avoid a difficult conversation or email. You’ll only burn a bridge for waiting too long or ghosting. Following the steps above will position you to maintain relationships with hiring teams you’ve declined, hold your head up high when you inevitably run into each other at industry events or online, and pave the way for future job opportunities, partnerships, or referrals in the future.
