Microsoft Formatting Techniques

Just a few years ago, the prevailing advice for writing a strong resume included keeping it down to 1-page. Especially if you are a mid or senior-level professional, you may have found yourself cutting out a lot of relevant information, using exceedingly small font sizes, and zero white space. 

 

These days, you shouldn’t worry about whether or not your resume is one or two pages long (or even 3-4 pages for some of the school system executives I support), as long as the content is rich in results and the formatting is polished.

 

Visually, however, one full-page looks more polished than one page plus a couple lines on page two (the same is true for two-full pages versus two pages plus a few lines on page three).

 

If you find that your resume can ALMOST fit on one page or two pages, but don’t want to compromise on content, here are some fast tips for formatting to save space in Microsoft Word:

 

  • Check your margins: Go to Layout > Margins > Moderate
     
  • Condense the spaces between characters: Go to Font > Advanced Tab > Spacing > Condensed > By 0.2 or 0.3 (any smaller may look very cramped)
     
  • Shrink the white space between lines: Highlight white space as if you’re highlighting text > change the font size to something smaller than the font size you’ve used on your text (i.e. your text is sized 10-11, and your white space is sized between 5-8)
     
  • Choose a small, modern font style such as Arial or Calibri

Beyond these formatting hacks, I encourage you to also review content and consider if you can make a bullet more concise or remove distracting information (like a personal interest section).
