Career Corner: Ask a Recruiter

When you only have experience with org-specific software/systems.
|

For many of my clients who work with large school districts or government agencies, much of the software and tools they use are created internally and only exist within that institution. This is all fine and good when you’re staying in place, but translating that experience to an external audience who isn’t familiar with these specific tools can take more work.
If you find yourself in a similar position, don’t fret!
Here are some strategies for describing your work with internally created systems and positioning yourself for roles with other organizations:
- Avoid using acronyms and instead explicitly describe the function of the system (ex: “Managed all reporting for 10-person business development team in our internally created Customer Relationship Management system, eliminating hundreds of duplicate entries and analyzing trends to influence team strategy, increasing sales by 10%”).
- Practice discussing your transferable skills and ability to learn new software and systems (ex: While my experience with project management tools is mostly concentrated on internally created systems, I’ve spent time researching [insert the name of the tools you understand most orgs in your industry use] and see significant overlap between the functionality. I’m excited to dig in and have even started a google certificate to better familiarize myself with [insert the project management tools].”
- Get hands-on experience with the software and tools that are used at your target employer. Download free versions, take Google, LinkedIn Learning, or Coursera courses (among others), and consider listing your research into those tools on your resume (i.e. “completed over 20 hours of training in [insert the name of the tool] via [list where you completed that training - a bootcamp, youtube, free versions, Coursera, etc.].
Don’t assume an employer will automatically know you can learn a new system or software, or understand that the internal ones you’ve used are very similar. Name it in your job search materials and in interviews!
